Group trip booking policies & conditions

There are four parts to the services we offer.

  • The main part is planning custom trip services for solo, corporate retreats, and family and friends small groups.

  • The second is the organization of group trips abroad. We will plan a trip itinerary for a specific location and specific date(s). The trip will be available for a specific group of individuals who will be named in the trip itinerary.

  • The third is facilitating flights and hotel packages for groups and families globally.

  • The fourth is support for travel claims in Europe and the UK for cancelled flights, denied boarding and lost or damaged luggage.

Booking a group trip with us

If you are interested in joining one of our group trips, you will be required to pay a deposit (The amount will be stated on our website, SepiTravel's website or WeTravel’s website).

This deposit is nonrefundable should you decide to change your mind about attending the trip. The subsequent payment(s) are only refundable up to 14 days after payment has been made.

Should you be booking on behalf of someone else, you are still held to the same conditions as above, for example, if your friend is no longer interested in the trip, the deposit is still not refundable.

Cancellations & refunds

If you do change your mind about attending a trip, deposits are non-refundable however subsequent payments made are refundable up to 14 days after the payment has been made.

 

We advise that you purchase a travel insurance policy that might be able to offer a refund depending on the reason for cancellation.

 

Should a trip get cancelled due to unforeseen circumstances such as COVID-19, natural disasters or in the rare event where we cancel because of not enough participants, you will get a refund of subsequent payments made after the deposit.

 

Regarding the deposit, you will be given the option of receiving a 50% refund or 100% credit that can be applied to future trips.

Refunds will be made within 30 days of cancellations and will be made to the same account from which payment was taken.

Payments & currencies

Our tour packages are priced in Great British Pounds (GBP) on our website when booked directly.
 
All payments made using a foreign currency such as USD must equal the tour value of the tour in GBP, we are not responsible for any currency fluctuations and have no control over this.
 
All payments are to be made via Stripe or Bank transfer. We are not responsible for any payment fees that are issued by your bank provider or Stripe.
 
Once the deposit has been paid, you have the option of opting for a monthly payment plan or paying the remaining balance in one payment. Payment plans are only available, up to 2 months before the trip is due to take place.

All payments for the payment plan are to be paid on the last day of every month (28th or 29th for the Month of February, 30th or 31st for any other month of the calendar year ). 

 

All payments must be paid promptly when due, failure to do so, in the participant's spot on the tour will be processed as a cancellation. We will contact the participant within 7 days after payment failure to resolve the issue before it escalates to cancellation. 

 

Please note your spot on the tour is only reserved once we have received the registration form & deposit payment together.

Extra charges: Pre-trip expenses

We are not responsible for any charges/expenditures required to travel internationally such as visa costs, local tax, international flights, passport costs, vaccinations and medical-related costs, it is your responsibility to plan for these costs and provide for them.

 

We strongly advise that you purchase a travel insurance policy that will potentially help reimburse you for hundreds of thousands of dollars of covered travel-related expenses like emergency evacuation, medical bills, and costs related to trip cancellation and interruption.

The price of the trip includes the activities and services stated in the description of the trip. The price of the trip does not include international flights not stated on the trip itinerary or anything else not stated. The same goes for the meals, whatever is included will be stated in the trip description.

Accommodation: Double occupancy

All rooms are based on at least two people sharing. Depending on the trip, there might be options for you to have your room at an extra cost which will be stated.
 
Should you be coming with a friend(s) please state it under the Note section on We Travel Page or email us at melanintravelsmagic@gmail.com and you will be placed in the same room(s).

Otherwise, we will place the travellers in rooms based on our discretion.

If a trip is a mixed-gender trip, you will not be placed in a room with someone of the opposite sex unless you wish to, which you will state to us by email at melanintravelsmagic@gmail.com or via the special note to the organizer under the trip-specific WeTravel or SEPITRAVEL’S Page.

Accommodation: Liabilities

MELANIN TRAVELS MAGIC acts only as an agent for accommodation (hotel) providers that we use during tours.

 

Although we take all care possible when sourcing accommodation providers, we can assume no liability for injury, damage, delay, loss, accident or irregularity in connection with any hotel.

 

Any extra expenses incurred whilst staying at the accommodation (hotel) such as room service, ordering drinks or food, aside from Breakfast, tipping of staff or charges to the room shall be the responsibility of the individual tour participant to provide for these extra expenses incurred.

Activities: Risks & potential damages

Should you choose to participate in any of the activities, you agree to take on any risks such as injury or damage to property that may occur.

MELANIN TRAVELS MAGIC is not liable for any of these risks.

Privacy policy: About your data

We endeavour to the best of our abilities to protect any and all personal information you share with us over the course of making tour reservations.

In order to provide the services or products in question, tour participants should understand that some personal information must be passed to third parties, mainly hotels and transport providers.
